In the following, you will find an overview of the nature, scope, purposes and legal basis of data processing with regard to the alumni network of the University of Koblenz.
The data is only used for follow-up contact between alumni and the university and is not used for any other purpose. Follow-up contact includes information from the University of Koblenz and the sending of the alumni newsletter, requests to participate in panel discussions, conferences and other events, requests for interviews or career reports, and contacting alumni for collaboration on other alumni-related topics.
Our alumni database contains fields for various personal data. Please note that data consistency varies, as not all alumni have provided information on all points. The information collected includes surname, first name, maiden name (if applicable), degree programme at the University of Koblenz, subject, specialisation, year of graduation, place of residence, country, current occupation and, if applicable, industry, company and email address.
a. For data migration from student administration:
After exmatriculation, the University of Koblenz processes personal data for the purpose of promoting and maintaining contact with its graduates in accordance with Article 6(1)(e)(2) and (3) of the GDPR, Section 3 of the Rhineland-Palatinate State Data Protection Act (LDSG-RLP) in conjunction with Section 67(6) sentences 2 and 3 in conjunction with Section 2(10) of the Rhineland-Palatinate Higher Education Act (HochSchG-RLP).
b. For data collection via online self-registration or registration form
The legal basis for the processing of your data by the University of Koblenz is, when you have provided us with your data through online self-registration or by means of a registration form (paper), your voluntary consent in accordance with Article 6(1)(a) GDPR. You can withdraw your consent at any time. Please note, however, that this withdrawal only has effect for the future, i.e. the withdrawal does not affect the lawfulness of the processing of data that has already taken place on the basis of your consent up to the time of withdrawal.
If you wish to unsubscribe from the alumni list, you can remove yourself from the distribution list at any time via https://list.uni-koblenz.de/mailman/listinfo/alumni or send an email to alumni@list.uni-koblenz.de.
We store your personal data only for as long as it is necessary to fulfil the purposes for which it was collected. If you object or withdraw your consent, we will delete the data unless further processing is required or permitted by the relevant legal provisions. We will also delete your data if we are legally obliged to do so.
Employees involved in fulfilling the respective purpose, as well as the central alumni department and other employees responsible for alumni management, may access the relevant data to the extent necessary to perform their duties. We also use external service providers for the technical infrastructure and maintenance of our systems. We carefully select these processors and review them regularly to ensure the protection of your personal data. The service providers may only use personal data for the purposes specified by us. Other recipients are only considered if we are obliged to disclose the data.
There is no automated decision-making, including profiling, within the meaning of Article 22 of the GDPR.
We process your personal data only in Germany and the European Union.
The provision of your personal data is not mandatory. However, without providing personal data, you cannot participate in the alumni network.
As a data subject, you have the following rights under the GDPR:
Right of access: You have the right to receive information about the personal data pertaining to you that we process.
Right to rectification: You may demand that inaccurate personal data will be rectified. Furthermore, you may demand that incomplete data will be completed.
Right to erasure: In certain cases, you are entitled to demand the erasure of your personal data.
Right to restriction of processing: In certain cases, you are entitled to demand that we restrict the processing of your data.
Right to data portability: If you have made the data available to us based on a contract or consent, you are entitled to demand to receive the data which you provided to us in a structured, commonly used and machine-readable format or to have them transmitted by us to another controller.
Withdrawal of consent: If you have given us your consent as to the processing of your data, you may withdraw the consent at any time with effect for the future. This does not affect the legitimacy of the processing of your personal data before the withdrawal of the consent.
Right to object: You have the right to object at any time to the processing of your personal data on the basis of Art. 6(1)(e) GDPR for reasons arising from your particular situation.
Your personal data will then no longer be processed unless we can provide compelling protected reasons for such processing that outweigh your interests, rights and freedoms, or the processing is necessary for the assertion of, exercise of, or defence against any legal claims.
